Our platform allows respondents to attach files to their survey submissions. We also provide the option to send these attached files directly to your email address in the form of an alert.
Here is a step-by-step guide on how to set this up:
Step 1: Create a new alert
Go to the Create -> Alerts and Webhooks tab.
Click the Create a new alert button.
Tip regarding recipients: By default, the alert is sent to the account owner. You can change this by removing the default recipient and adding new addresses. Remember to separate multiple email addresses with a comma or a semicolon. Details on creating an alert and configuring its settings can be found in the guide on creating alerts.
Step 2: Get the system question ID
To properly attach the file to your email, you need to find the system ID of the file upload question.
To do this, click the Edit text option.
Next, in the alert content creation module, click the Tags option.
From the drop-down list, select the question where the respondent uploads the file.
A system macro will appear in the alert body. Copy only the number from it (e.g.,
12345). You can delete the rest of the recently inserted macro.
Step 3: Configure the attachment tag
Once you have the copied question ID, paste the following tag into the alert content:
[ANS_ID_ATTACHMENT_<question_ID>]
Replace <question_ID> with the sequence of digits you copied earlier (e.g., [ANS_ID_ATTACHMENT_1234567]).
Step 4: Save and test Customize the rest of your alert content to suit your needs and save the changes. That's it! The file uploaded by the respondent will now be automatically attached to the alert email.
Finally, we highly recommend testing the setup – fill out a sample survey, add an attachment, and check if the message arrives at the specified inbox in the correct format.
