An email to the respondent after completing the survey

If you want to send the respondent an e-mail after completing the survey, you can easily create it in the "Create -> E-mail after completion" tab. Such a message can be a thank you or a confirmation of completion. However, you can also include elements such as, for example, a reward for completing a survey (such as a disount code or link to an e-book), the obtained test result and its interpretation, or the answers which the respondent gave in the questionnaire (if, for example, you register for some event).

Important: Please note that the Confirmation E-mail feature is only available if the questionnaire includes an e-mail address or if the questionnaire has the access by personal link for each respondent and you send invitations using the "Send to e-mail" option.

In the first case, the message is sent to the address provided as an answer to the question. In the second case, the message is sent to the same e-mail address to which the invitation to the survey was sent.

How to set up a confirmation message for completing the survey?

After you finish adding survey questions, select "E-mail After Completion" in the "Create" tab.

In the displayed "Confirmation of completion on e-mail" section, set up the following message parameters:

Status

This option defines whether messages are sent after filling. In order for the messages to be sent, they must have the "Active" status. The default status is "Inactive".

E-mail address source

Thanks to this option, you can decide from where the respondent's e-mail address is collected, to which the message about completing the survey will be sent. If your survey includes a question for an e-mail address, you can use the "e-mail address question is the questionnaire" option. If the survey has access by personal link for each respondent, you can use "the same e-mail address to which the invitation has been sent" option. Important: if your questionnaire does not meet any of the above conditions, you will only see one option.

From

The "From" option allows you to define which e-mail address will appear as the sender of the set up message. The default sender is the Startquestion.com website. If you use the "Display my e-mail address as sender" function, your e-mail address to which the account is registered will appear in the From field, for example: "jan.kowalski@mojafirma.pl via Startquestion.com". If you have integrated your mail server with our website. These confirmations will be sent from your e-mail address.

Subject

The "Subject" field allows you to enter the subject of the message. The default subject is: "Survey Confirmation".

Message

In this field you can enter the content of the message which will be sent to the respondents after completing the survey. You can easily edit this content with a WYSIWYG editor. Additionally, you can use dynamic labels in the text of the message, thanks to which you can personalise the sent messages by dynamically inserting content such as:
- Survey responses
- Respondent's data taken from Labels (in the case of sending with a token)
- Result of the test
- Feedback
- Verification code
- Email
- Survey title

Preview

There is a message preview window at the end of the message setup screen. Thanks to it, you can see what your message will look like in the end. Thanks to the "Use a message template" option, the message will contain the logo and footer of our website, but of course you can insert any message code.

Finally, the above-configured message confirming that the survey has been completed, which is sent to the respondent's e-mail address, looks as follows:

What is worth remembering?

  • Only the replies are dynamically inserted into the body of the message, not the content of the question. If you want to show the answers in the e-mail, enter the questions "rigidly" and add a macro to the text of the answer next to it (as in the example above).

  • The system for viewing responses inserts the content of the answers provided from the last completed questionnaire. For the purposes of preparing the content and tests of such a message with the answers provided, we recommend that you first complete the questionnaire in order to see what the respondent sees in the preview.
